Package: £21-24k, dependent on skills and experience, plus pension contribution.

United World Schools is recruiting for the exciting position of Executive and Operations Associate. We are looking for an ambitious graduate or current professional to join our growing team.

The Executive and Operations Associate will provide high quality executive assistance and operational support to the CEO and Finance and Operations Director to support the team to execute strategy and plans. In addition, the role provides effective office management and HR support for the central team to ensure the smooth day-to-day operation of the charity.

Who we are looking for:

We are looking for an ambitious graduate or current professional, either (i) with experience of or (ii) keen interest in education and the non-profit sector.

Education, Skills & Qualifications (Required)

• Educated to degree level with evidence of continuing professional development

• Demonstrable interest and empathy with the work of United World Schools

• Relevant administrative, organisational and planning skills, including development of teamwork and effective working procedures

• Good IT skills, strong organisational and time management skills with a sharp eye for detail

• Motivated, solution-focused, confident and well presented

• Highly proficient communication skills, both written and oral; with the ability to influence and engage a wide range of donors and partners and build long-term relationships

• Professional and resourceful, with the ability to work independently and as part of a team

• Ability to work in a small but highly ambitious organisation, and occasionally be happy to jump on a plane to Cambodia, Myanmar or Nepal

• Ability to work under pressure and meet strict deadlines, including working extended hours as required

• Determined, persuasive, ambitious, flexible, co-operative and a pro-active team player,  which means you commit and deliver for the cause


Responsibilities (including, but not limited to)

Team Coordination

• To support the CEO with day-to-day operations, running of the charity and governance.

• To lead the office management, including office resourcing, communication and IT facilities (technical support is outsourced).

• To coordinate meetings, travel arrangements and conference calls on behalf of the executive team and to support with diary management as required

Governance and Reporting

• To collate, prepare and review data and internal management information, including impact reporting

  This includes the preparation of reports e.g. for board meetings, funder updates, partner meetings etc. This will also include preparing agendas, drafting a variety of communication pieces, proof reading & editing material, and checking and updating financial information.

•Support with ad hoc monitoring and evaluation projects, such as the development of our reconnaissance processes and long term impact studies.

• Support the CEO, Trustees and Directors to ensure all necessary legal and financial issues around fundraising and governance are appropriately fulfilled and adhered to.

Finance and Data Management

• Working with the Management Accountant to support budgeting processes for UWS administration and overheads, including staff training and recruitment, staff expenses, premises, fund-raising and general administration of the charity.

To be responsible for ensuring the charity CRM system (E-Tapestry) is kept up to date with both quantitative and qualitative data and all staff are fully trained to ensure its effective use.

Human Resources

• To support with HR operations, including staff recruitment and personal development plans and oversight of putting the all charity policies into practice, including safeguarding.

Communications and Stakeholder Liaison

• To act as a point of contact for the charity, liaise with key stakeholders including donors, funders, partners, trustees, maintaining good relationships and effectively representing the CEO and UWS. This will mainly take place by email and phone, but may include representing the supporter meetings and events.

• Coordinate volunteers, stakeholders and members of the UWS Council.
